Accounting Coordinator

Job Summary:

As part of the rapidly growing Agency Habitat team, our Accounting coordinator is dependable, acutely detail oriented and extremely organized and system-driven. This person is experienced in accounts payable and accounts receivable, ensuring the company’s financials are run efficiently while multitasking across initiatives. This role is responsible for all accounts receivable posting and input of production, media and overhead payables, as well as developing and implementing new systems to promote efficiency and security. We’re looking for a reliable self-starter who is willing to uphold our accounting practices to the highest standards.

Key Responsibilities:

Accounts Payable

  • Maintains current and establishes new vendors in agency management software
  • Manages vendor invoices ensuring they:
    • are matched with an appropriate purchase order (PO)
    • are received and tagged to projects or overhead in a timely manner
    • are correctly coded in the agency management software system
  • Speaks with agency team and vendors to ensure charges are accurate and that payments are made in a timely manner
  • Enters all credit card transactions with proper coding and reconciles credit cards accounts
  • Supports Media Manager in reconciling media spends
  • Posts payroll to agency management system appropriately
  • Prepares 1099s
  • Processes expense reports

Accounts Receivable

  • Monitors receivables, current and past-due amounts
    • Communicates with account team
    • Participates in collection efforts as needed
  • Processes all incoming wire, ACH and check payments
  • Prepares and makes bank deposits

General Accounting

  • Utilizes agency management software to run client billing batches
    • Distributes batches to appropriate account team members
    • Coaches team on accounting best practices in monthly billing meetings
    • Develops invoices to send to clients based on account team direction
    • Reconciles billing based on project completion communicated by account team
  • Supports and/or leads payroll processing and relevant reporting
  • Reconciles bank statements
  • Assists with month end close procedures
  • Ensures compliance with internal accounting procedures
  • Collaborates with CPA on tax implications and compliance procedures
  • Assists with month end close procedures
  • Maintains accurate records, including ledgers, journals, receipts, and invoices
  • Participates in operations meetings as needed
  • Responsible for continuous self-improvement of his/her skills and expertise.
  • Performs other tasks as assigned.

Reports to: Vice President of Operations or his/her designee

Supervises: n/a

External relationships: Vendors, Contractors

 

Qualifications: 

Education: Bachelor, Associate or vocational degree in Accounting

Work experience: 2+ years of experience processing account payable and accounts receivable required, including experience with accounting software (knowledge of Workamajig a huge plus); agency experience preferred

Work requirements: Occasional overtime and travel required. May work odd hours.
